In Timequip, workflows define how tasks move through your process — from an initial idea to completion. A workflow is a sequence of statuses that represent different stages of work. By customizing these workflows, you can adapt Timequip to match your team’s exact way of working, whether you manage product development, marketing campaigns, or client projects.

Understanding Workflows

A workflow is a structured path that tasks follow. It helps ensure that work progresses consistently and transparently. Each project in Timequip can have its own workflow, reflecting the specific process your team follows.

For example, a simple workflow might include:

Every transition between statuses defines what actions team members can take and who is responsible at each stage.

Defining Statuses

A status describes the current state of a task. Timequip provides a set of default statuses — Backlog, In Progress, and Done — but you can add or rename them to match your workflow. Each status can have its own color and category (for example, To Do, Doing, or Done), making it easy to visualize progress on the board or timeline.

Common examples of statuses include:

  • Backlog: Tasks not yet scheduled or prioritized.
  • In Progress: Tasks currently being worked on.

  • Restrict transitions to specific roles (e.g., only a Team Lead can move a task from Review to Done).
  • Automate actions during transitions (e.g., auto-assign a reviewer when moving to Under Review).
  • Trigger notifications to keep stakeholders updated.

To speed up setup, Timequip offers predefined workflow templates for common use cases:

  • Support Tickets: Open → Assigned → Waiting for Customer → Resolved → Closed
You can start from a template and adjust it to match your process — rename statuses, add transitions, or assign specific permissions.
